Enterprise - Product Overview

Designed specifically for businesses in the advertising and marketing services sector, Enterprise is more than just an accounting system. It’s a fully integrated solution that combines the production, media, timesheet, traffic and accounting functions of a business, conveniently into the one software package.

The Enterprise production/finance system provides job and financial control across an advertising agency. The modules include Estimates, Purchase Orders, Production, Jobs/Projects and Traffic, Time Recording and Reporting (using the integrated Timesheet Desktop module), Client Accounting, Supplier Accounting, General Ledger, Masterfiles, Contacts and User Access rights.

The modules of Enterprise are part of a tightly integrated system; there is no need for manual ‘posting” or data transfers between the modules.

Multiple companies and divisions can be supported within a single database, and consolidated reporting can be performed across divisions and companies.

Enterprise supports both multi-currency and dual language, and the interface (as well as the data items) is fully configurable for both language.

The security subsystem controls access to both functions (estimates, purchase orders, invoices, etc), and the data (companies, divisions, clients) that each user can access.  


Estimates

Enterprise allows you to create one or unlimited Estimates per Job. Templates can be created to allow users to capture all required components to the specific type of work you do. Cost types or tasks are used to build an Estimate, allowing you to store charge out rates on each one depending on your client agreements. They can be grouped into phases, sorted or just used to build comparative quotes for items such as printing. Security features are built in for access allowing you to limit who can Client Approve an Estimate as well as ensuring certain fields are read only. You have the flexibility to store disclaimers, T&Cs, notes and purchase order details on your estimate before sending it out as an email or saved document.

Purchase Orders

A simple and easy to use module that allows you to raise Purchase Orders to your creditors against a Job Number or directly to your ledger. A Purchase Order can be generated directly from your Estimate and will also validate to ensure it doesn’t exceed the value of your Approved Estimate by Cost Type. We have a Purchase Order Limits feature that allows you to control purchase orders being raised by Department, Employee and Job to name a few.

Production

The Enterprise production module allows the user to track all activity on a Job in detail allowing you to stay in control of your jobs. With its comprehensive treatment of work in progress and ability to fully integrate into the financial module, it allows for seamless processing and reporting. Companies can define how and when they recognise their revenue, ensuring accurate and dynamic job reporting. Once a job has been opened, users can then generate a Traffic schedule, create Estimates and Purchase Orders, record time, invoice to the client and track revenue. Enterprise also has a built in Studio job opening functionality that will automate your Client and Job maintenance and reduce your processing time for all users.

Timesheets

Timesheet Desktop is an integrated timesheet module that runs natively on either a PC or a Mac. It enables users to quickly and easily record how they spend their time and whether it’s billable, non billable, client or non client related as well as defining the activity performed. It has a built in timer with an option to record notes for each entry as well as the ability to template your jobs and projects. All time entered can store an employee cost rate and a billable rate based on the agreed fees with your Client. This allows for dynamic time and client profitability reporting and assists in analysing your staff utilisation.

Production Reports

Comprehensive reporting is available in various formats to allow you to analyse, track, and monitor the status of your jobs. Whether it’s the detailed job reports, cost type summary, job time variance reports, aged WIP or job profitability, these dynamic reports allow you to have complete control over the financial status of your business.

Traffic

Just as managing the costs on your Jobs is important, so is the ability to track, monitor and co-ordinate the workflow within your business to ensure jobs are completed in a timely and efficient manner. Enterprise will allow you to create traffic schedules for a Job or a Project, where you can assign specific tasks to either an Employee, Department, Employee group, the Client or to an external supplier with scheduled start and end dates. You can easily update, add, remove and complete tasks, assigning an estimate of time and notes which can all be used as part of your traffic reports. Users can print a Traffic Ticket, run Traffic by Responsibility reports or view their schedules as a graphical export.

Accounts Receivable

Enterprise Accounts Receivable module has many features to allow you to manage your billings to your Clients in multiple currencies. This includes unlimited Client, Product and Campaign masterfiles, flexible Proforma, Production and Sundry Invoicing billing options with the ability to store various commission and service fee rates for each client. The ability to store notes at a Client or Invoice level and the Dynamic Aged Debtors reports will provide you with the flexibility to easily manage your cash flow.

Accounts Payable

The Enterprise Accounts Payable module allows for fast and accurate recording of all your Creditor functions. Users have the ability to allocate costs to both jobs and the general ledger, one or multiple divisions, different currencies, departments, employees and clients all in the one entry. There is a Draft Supplier Invoice feature allowing you to log your entries before sending them off for approval and making them financial, as well as a Fast Data Entry screen all written in the latest technology. Users have the option to utilise the Templates within Enterprise for their regular processes as well as import data for the larger transactions.

Enterprise allows you to generate Electronic Payments and Remittances to your creditors, allowing you to pay from one or multiple Bank Accounts across different Payment Types and even if different currencies.

Talent (Australia Only)

The Talent module allows you to process payments to talent suppliers or individual contractors, and handles all relevant federal and state employee and payroll costs. With the ability to process talent and their related on-costs; Superannuation, Payroll Tax, Work Cover and Withholding Tax accurately, you can now print all your Payment Summaries from the one database for all your Divisions.

General Ledger and Reporting

Enterprise is a single integrated financial ledger that allows for point in time reporting for one or multiple divisions at the click of a button. It is a combined solution that incorporates financial data from all modules and even allows for consolidation across multiple databases. Journals can be entered directly into the application, imported from a spreadsheet or created via a template. As well as the standard financial reports available, users have the option to create and compare their actuals against as many Budgets and Forecasts as required to manage and track your company’s performance. Access to all history data, Detailed Tax Reports and Foreign Currency reporting make this the ideal business solution.

Bank Reconciliation

With the ability to have unlimited bank accounts setup, reconciling your accounts have never been so easy. With an automated matching feature and the ability to import all your Bank Statements with one click on a button, users can now reconcile daily, weekly or monthly in a fraction of the time.

Alerts

Timesheet Alerts - Almost all agencies experience issues trying to get their staff to enter timesheets, if at all. As it can be a time consuming and costly process using an internal resource to monitor and chase staff, we have developed an alerts system that will send an email to all staff that have not completed their timesheets with an option to cc their supervisor or manager.

Estimate Alerts - If you work on a business model of invoicing your clients from an Estimate, the Estimate Alerts is a must have. It will allow you to monitor all time entered versus the budgeted time, and email the Account Manager, Account Director and Project Manager if required at various trigger points of percentage completed. As it checks either the overall Job total or by Cost Type, managing your job has never been easier.

Media desktop interface with Enterprise

Enterprise allows users to integrate financial data processed in the Media Desktop application. All Media Invoices created, Payments made and 3rd Party Rebates are automatically posted to the relevant sub ledgers and will also update the general ledger. This allows for consolidated debtors reporting, comprehensive bank reconciliation and general ledger reporting.
